Cancellation and refund policy

  • Written cancellations received up to and including 31 March 2009 will be fully refunded less an / Euro 50 charge. 
  • Written cancellations received between 1 April and on 1 May 2009 will receive a 50% refund.
  • Written cancellations received after 1 May 2009 will not be refunded.

Letter of invitation

The conference agency will send you a letter of invitation upon request. The Organising Committee would like to state clearly that the letter is only to help participants to obtain a visa or to raise travel funds and entails no further financial obligations whatsoever towards a participant. The conference agency is only able to send the letter of invitation after receipt of complete name and postal address of the applicant. The complete registration fee has to be paid in advance.

Passport and Visa

An identity card is sufficient for citizens of EU Member States.
A valid passport is required for non-EU citizens for entry into the Netherlands and the EU.
Please consult the Dutch Consulate nearest to you for special details and visa requirements.
Please be aware that in some countries visa applications can take up to several months.


The official working language in all events and presentations (plenary and parallel sessions, extension events and panels, etc.) and in all documents and papers of the conference is English. No simultaneous or asynchronous translations in other languages are provided.
In certain cases and for dedicated groups and special events the organisation can make different arrangements where the working language is different from English and indicated in advance. Please contact the conference organisers for further arrangements by sending an email to: icde2009@ou.nl

Dress Code

The conference networking session/dinner requires tenue de ville or traditional, for all other occasions casual clothing.


Electricity in the Netherlands is supplied at 220V-50Hz AC.

All participants, accompanying persons and exhibitors must wear the conference identification badge. Entrance to meeting halls, poster and exhibition area will not be permitted to any person without a badge.


The national currency is the Euro (). The Euro is the currency of 24 of the 27 members of the European Union. The introduction of the Euro in 2002 was the result of the treaty of Maastrich in 1992.


The organisers and/or its agents have the right for any reason beyond their control to alter or cancel, without prior notice, the conference or any of the arrangements, timetables, plans or other items relating directly or indirectly to the conference M-2009. The organisers and/or its agents shall not be liable for any loss, damage, expenditure or inconvenience caused as a result of such alteration or cancellation.
